How the stages work. Active means work is in flight. In conversation means there's a live thread or an open ask. Warm means a real relationship with nothing pending. Dormant means it's gone quiet. On hold covers anyone contact should route around.
What the dates mean. Each stage has a comfortable gap — a fortnight for active work, two months for a warm contact. Pass it and the date turns amber, then red. That's the whole trick: the people you're about to lose surface on their own.
Logging. "I reached out" and "Add a note" collect into a single block you paste back into your assistant, which files it to the underlying notes so the next refresh already knows.
